E-signing for a housing cooperative: minutes, contracts and proxies
Short answer: the board sends the minutes to the board members who were at the meeting, and they sign from their phones. Contracts are signed the way the Brønnøysund Register Centre says the cooperative signs. Signing is free.
Step by step
For example: three of the five board members of Eksempel borettslag meet, and the board decides to paint the stairwells.
- 1You
You write the minutes in the board minutes template, or upload your own, and send them to the three who were at the meeting. The law says they sign them (borettslagsloven).
- 2The signers
Each of them opens their own link and signs in the browser. Nobody needs an account or a printer.
- 3VAMOSIGN
VAMOSIGN seals the PDF and sends it to all three and to you, with a certificate at the end.
- 4You
The painters' contract is to be signed for the cooperative. You press "Signs for a company…" and find the cooperative. VAMOSIGN shows the rule from the register, for example "Styrets leder og ett styremedlem i fellesskap" (the chair and one board member together), with today's people.
- 5You
New house rules are to be signed by all 40 members. You send one document to everyone, and each gets their own copy. One page shows who is missing. It is part of Team.
- 6A member
A member who cannot attend the general meeting fills in the proxy template and signs it.
